Where they started
Crestview's 14 schools issued roughly 15,000 transcripts, report cards and credential letters a year — almost all on paper, signed by hand, and mailed or faxed on request. A single transcript took 5 days to produce, the records office had a 6-week backlog on verification requests from colleges and employers, and 1 in 12 credentials went out with a transcription error. Paper, printing, postage and storage cost $640K a year, and the district had failed two state audits because records couldn't be located within the required window.
What we built
We deployed our Doc Vault document management platform with OCR-based ingestion that digitized 30 years of paper records in 6 weeks, verifiable digital credentials anchored to each student's record, a self-serve parent and student portal for transcript requests, and e-signature workflows for registrar approval. Retention policies now run automatically and state audit packets generate in minutes. Colleges and employers verify a credential through a secure link — no fax, no phone call, no 6-week wait.
