Where they started

Harborview's 1.4M sq ft across 22 office and industrial properties was administered on a lease abstract spreadsheet nobody fully trusted. Lease expirations were flagged manually, and the firm had lost three anchor tenants in two years because renewal conversations started 60 days out instead of 180. CAM (common area maintenance) reconciliations were done by hand each January and consistently under-billed tenants by an estimated $400K a year — money the firm was effectively gifting to its tenants. Portfolio yield was a number the CFO computed quarterly, by which point the levers to move it were gone. The asset management team of 5 spent most of its week assembling reports instead of acting on them.

What we built

We deployed our ERP System with a lease administration module that abstracts every lease into a structured record, flags expirations and rent escalations 180 days out, and auto-generates renewal workflows routed to the right asset manager. CAM reconciliation now runs automatically against tenant occupancy and shared-cost pools, and a portfolio analytics dashboard shows occupancy, yield per square foot, and WALT (weighted average lease term) in real time across all 22 properties. The platform went live in 12 weeks and replaced the abstract spreadsheet, the CAM workbook, and three reporting tools.
